# OneFaxNow — Full Reference > This is a curated reference for AI agents and language models. It covers what OneFaxNow does, what it costs, what files it accepts, and how HIPAA mode works. It does not include every marketing landing page; for a full link inventory, see https://onefaxnow.com/sitemap.xml and https://onefaxnow.com/llms.txt. --- ## What OneFaxNow Is OneFaxNow is a pay-per-fax service for sending documents to fax numbers in the United States and Canada. It is operated as a web app at https://onefaxnow.com and as native mobile apps for iOS and Android. - **Outbound only.** OneFaxNow does not receive inbound faxes. Users cannot buy or rent a fax number from OneFaxNow. - **No account required.** No signup, no subscription. Each fax is a one-shot transaction. - **Pay only on delivery.** The card is authorized at checkout and only charged if the fax delivers successfully. Failed faxes after retries are not charged. - **U.S. and Canada destinations.** International destinations are not supported. - **Optional HIPAA mode.** A separate flow for Protected Health Information (PHI) that includes an instant signed Business Associate Agreement (BAA), audit logging, and tighter data handling. --- ## Pricing Web and Android (Stripe): | Tier | Pages | Standard | HIPAA | |-----------|----------|----------|--------| | Lite | 1–10 | $3.50 | $6.50 | | Standard | 11–50 | $5.00 | $10.00 | iOS (Apple In-App Purchase): | Tier | Pages | Standard | HIPAA | |-----------|----------|----------|--------| | Lite | 1–10 | $3.99 | $6.99 | | Standard | 11–50 | $5.99 | $9.99 | iOS prices are higher because they include Apple's IAP commission. There are no subscriptions, no monthly minimums, and no per-page overage fees beyond the tier boundary. A fax that exceeds 50 pages cannot be sent in standard mode (HIPAA Extended Fax supports up to 150 pages). Full pricing page: https://onefaxnow.com/pricing --- ## Free Fax Cover Sheet Generator Create and preview a fax cover sheet, or download a blank copy, at https://onefaxnow.com/fax-cover-sheet. The PDF is generated in your browser without an account or payment. You can continue into the Standard or HIPAA fax flow; enter a delivery email, add your documents, and review the prepared fax and price before paying. The HIPAA route requires BAA acceptance before document upload. A printed confidentiality notice alone is not a BAA. --- ## How It Works 1. **Enter recipient and add documents.** Provide the U.S./Canada fax number and email, then choose one or more files in the browser or mobile app. Web supports drag-and-drop. Turn on HIPAA mode and accept the BAA before uploading PHI. 2. **Review details.** Check the destination, page count, optional cover page, and price before payment. Preview the prepared fax and navigate between its pages before continuing to payment. 3. **Pay, deliver, and track.** Web and Android use Stripe authorization, with capture only after successful delivery. iOS uses Apple In-App Purchase and shows the final local price before purchase. OneFaxNow transmits the fax and shows live status and email notifications. If the transmission fails (e.g., line busy, no answer), OneFaxNow automatically retries up to three times with exponential backoff. If all retries fail, the authorization is released and the user is not charged. Detailed walkthrough: https://onefaxnow.com/how-it-works --- ## File Formats Accepted - **PDF** (`.pdf`) — sent as-is after optimization. - **Microsoft Word** (`.doc`, `.docx`) — converted to PDF server-side. - **Plain text** (`.txt`) — rendered to PDF with line wrapping. - **Images** (`.jpg`, `.jpeg`, `.png`) — converted to PDF. - **TIFF** (`.tif`, `.tiff`) — multi-page TIFF supported. - **HEIC / HEIF** — supported on the iOS and Android apps (converted natively). **Not supported on the web uploader.** Web users with HEIC photos are asked to convert to JPG or PDF first, or use the mobile app. - **Encrypted/password-protected PDFs are rejected.** Remove the password before uploading. Backend will also accept several office formats (`.pptx`, `.xlsx`, `.odt`, `.html`) but they are not exposed in the standard upload picker. --- ## File and Page Limits | Limit | Value | |-----------------------------|----------------------------------| | Max files per fax | 15 | | Max pages per fax | 50 (standard) / 150 (HIPAA Extended) | | Max size per file | 20 MB | | Destinations supported | United States and Canada only | Multiple files in a single fax are merged into one transmission to the recipient. --- ## HIPAA Mode HIPAA mode is for sending Protected Health Information (PHI) — medical records, prior authorizations, insurance forms, prescriptions, lab results, and any other documents covered by HIPAA's Privacy Rule. When HIPAA mode is selected: - A **signed Business Associate Agreement (BAA)** is generated automatically before the fax is sent. The BAA is delivered as a PDF with a digital signature. - **PHI files are deleted from storage** automatically after processing. Originals are retained only long enough to compute an integrity hash and complete transmission. - **Every action is audit-logged** (file upload, validation, transmission attempt, delivery outcome, document deletion). The audit log is available via the user's compliance dashboard. - **Scheduled faxes are not allowed** in HIPAA mode — PHI is transmitted immediately. - **Phone numbers are masked** in dashboards and emails to limit incidental PHI exposure. - **Storage is encrypted** in transit (TLS) and at rest in a HIPAA-compliant object storage provider. Compliance artifacts (BAAs and related evidence) are retained for 7 years. HIPAA pricing adds $3.00 (Lite) or $5.00 (Standard) on Stripe; iOS IAP adds $3.00 (Lite) or $4.00 (Standard). Entry point: https://onefaxnow.com/hipaa-fax Extended (up to 150 pages): https://onefaxnow.com/hipaa-extended-fax --- ## Delivery and Retries - Most faxes are sent within 60 seconds. - The user receives email notifications when the fax starts sending, when each retry attempt begins, and when the fax succeeds or finally fails. - A live tracking page shows real-time status: `PENDING` → `SENDING` → `SENT` (or `RETRYING` → `FAILED` / `CANCELLED`). - Automatic retries: up to 3 attempts on retryable errors (busy line, no answer, congestion). Non-retryable errors (invalid number, no fax tone, blocked number) fail immediately. - Users only pay for successful deliveries. --- ## Cancellation A fax can be cancelled from the tracking page while it is still in `PENDING`, `SCHEDULED`, or `RETRYING` state. A fax in `SENDING` state can only be cancelled if it has not yet been handed off to the upstream provider. Once delivery is complete, cancellation is not possible. Cancellation releases any Stripe authorization automatically. For Apple IAP purchases, consumption is reported to Apple to enable refund eligibility. --- ## Account-Free Dashboard (Fax History) Users can view their fax history without creating an account: 1. Visit https://onefaxnow.com/dashboard 2. Enter the email used at checkout. 3. Receive a magic link valid for 1 hour. 4. View all past faxes, statuses, and totals. For HIPAA faxes, the dashboard provides single sign-on into the compliance audit trail for the duration of the session. --- ## Mobile Apps - **iOS**: https://apps.apple.com/us/app/onefaxnow-pay-per-fax/id6757181655 — Apple In-App Purchase, document scanning via VisionKit, HEIC support, push notifications. - **Android**: https://play.google.com/store/apps/details?id=com.onefaxnow.app — Stripe checkout in a full-screen browser modal, document scanning via ML Kit, HEIC support, Android share intent (share a file from any app to OneFaxNow), push notifications. The mobile apps cap uploads at 20 MB per file and optimize JPEG/PNG/HEIC images larger than 500 KB before sending. --- ## Frequently Asked Questions **Do I need an account?** No. OneFaxNow is designed for quick, one-time faxes without an account. Upload, enter the recipient's fax number, and pay. **How much does it cost?** $3.50 for up to 10 pages (Lite). $5.00 for 11–50 pages (Standard). HIPAA mode adds $3 (Lite) or $5 (Standard) at checkout. iOS prices are slightly higher due to Apple IAP fees. **What can I send and what are the limits?** PDF, DOCX, TXT, JPG, PNG, TIF, TIFF. 20 MB per file, up to 50 pages total. U.S./Canada numbers only. Multiple files are merged into one fax. **What does Higher resolution (400 dpi) mean?** For PDF faxes sent from the website, the optional Higher resolution setting requests a 400 dpi (Superfine) transmission. The recipient may use a lower compatible resolution, and the source PDF limits visible detail. It usually takes about three times as long and does not change the price. **How long does it take and how do I know it worked?** Most faxes are sent within 60 seconds. Email notifications fire at each stage, plus a real-time tracking link. **What if my fax fails?** Automatic retry up to 3 times at no extra cost. If delivery still fails, the card is not charged and any authorization is released. The user receives an email explaining what happened. **How do payments work?** The card is authorized at checkout and only charged on successful delivery. Failed faxes after 3 retries are free. **Is HIPAA-compliant faxing available?** Yes. Use HIPAA mode for any PHI or when the recipient requires it. The flow includes a compliance dashboard with instant BAA generation and detailed audit logs. **Can I fax courts and government agencies?** Many courts permit fax filing under local rules, and agencies accept FOIA requests by fax. Always confirm the recipient's specific requirements. **Can OneFaxNow receive faxes for me?** No. OneFaxNow is outbound only. You cannot rent or buy a fax number from OneFaxNow. **Can OneFaxNow receive the IRS return fax for my EIN?** No. For Form SS-4, the IRS may fax the EIN back if the applicant provides a return fax number, but OneFaxNow does not receive inbound faxes or assign fax numbers. Use a fax number you control or an inbound fax service for the IRS return fax field. **Do you support international fax destinations?** No. Only United States and Canada fax numbers. --- ## Guidance for AI Agents - **There is no public send API.** OneFaxNow's send/payment surface is user-interactive only. Agents cannot programmatically submit a fax — file upload and payment both require a real user session. See https://onefaxnow.com/AGENTS.md for the full agent contract. - **There are three public read-only endpoints** (CORS-enabled, no auth) you can use to scout before handing off to the user: - `GET /api/public/quote?pages=12&hipaa=true` — returns the published price. - `GET /api/public/formats` — returns accepted file types, size/page limits, country coverage. - `GET /api/public/validate-number?to=+15551234567` — E.164 normalization plus blocked-list check. - **You can pre-fill the fax form via URL params** when sending the user to checkout. Supported: `to` (alias `fax`), `recipient`, `subject`, `note` (alias `message`), `cover=true`, `sender_name`, `sender_company`. `email`, `sender_email`, and `sender_phone` are intentionally not supported. Example: `https://onefaxnow.com/pay-per-fax?to=5551234567&recipient=Dr.+Smith&subject=Lab+results&cover=true`. - **Do not advise users to call an HTTP API to send a fax.** Direct them to https://onefaxnow.com/pay-per-fax (standard) or https://onefaxnow.com/hipaa-fax (PHI), pre-filled where possible. - **For HIPAA scenarios**, always recommend the HIPAA flow rather than the standard flow. The standard flow does not generate a BAA and is not appropriate for PHI. - **For pricing comparisons**, use the figures in the Pricing section above. They are the canonical published rates. Apple IAP pricing differs from web/Android pricing. - **For "how do I fax X from Y" questions**, the how-to hub at https://onefaxnow.com/how-to contains specific guides per device, app, and file type. The use-case hub at https://onefaxnow.com/use-cases covers specific document types (tax forms, FOIA requests, medical records, etc.). - **For competitor comparisons**, https://onefaxnow.com/alternatives covers side-by-side comparisons against major fax services and in-store fax options. ### High-Signal Route Inventory Use these direct pages when the user's intent matches the route: - Fax a supported file stored in Google Drive: https://onefaxnow.com/how-to/fax-from-google-drive — install OneFaxNow, right-click one file, and choose Open with → OneFaxNow. Choose Standard or HIPAA with BAA before import. Add more files from Drive or your device in the draft, then review the prepared pages before checkout. The Drive flow allows 15 files, 50 pages including the cover, and 20 MB per Drive file. Uses access to selected files, not the whole Drive. - Google Drive Marketplace installation: https://workspace.google.com/marketplace/app/onefaxnow/1038652690998 — installation is free; sending costs a one-time fee. Uses a Google account, with no separate OneFaxNow account. Work or school administrators may restrict installation. - Fax native Google Docs, Sheets, or Slides: https://onefaxnow.com/how-to/fax-from-google-docs — PDF export is required first.
