Legal Correspondence & Demand Letter Fax Service
Fax demand letters, settlement offers, and other legal correspondence to attorneys, insurers, agencies, or third parties—without a fax machine. No account or subscription: upload your documents, enter the fax number, and pay only if delivery succeeds.
Important: This service transmits your documents by fax. It is not a substitute for court e-filing, formal service of process, or any method required by law. Always follow applicable rules and procedures.
When Faxing Legal Correspondence Makes Sense
Legal practice is full of documents that don't need to be "filed" with a court, but still need to reach the right party quickly and reliably.
Common examples:
- Demand letters to opposing parties, insurers, or agencies
- Settlement offers and negotiation correspondence
- Notices to opposing counsel, carriers, or third parties
- Reservation-of-rights letters and coverage position letters
- Follow-up letters on claims, disputes, or investigations
- Supporting documents requested by an attorney, adjuster, or agency
Fax is often used when:
- The recipient lists a fax number for legal/claims correspondence
- You need a transmission record alongside email and mail
- A portal is unavailable, unreliable, or doesn't allow attachments you need to send
You decide who to send to and what to send. OneFaxNow simply delivers your fax to the number you provide.
Before You Fax Legal Correspondence or Demand Letters
To keep things clean and defensible, run through this quick checklist:
Confirm fax is appropriate for this recipient
- • Check engagement letters, claim instructions, or agency contact details.
- • Verify the fax number is intended for legal/claims correspondence.
Understand whether this is filing or service
- • If you're attempting court filing or formal service of process, check the rules.
- • Fax alone is often not sufficient for official filing or service unless explicitly permitted.
Prepare a clear cover page
- • Your name / firm
- • Recipient name / organization
- • Matter or claim number (if any)
- • Document title (e.g., "Demand Letter re: [Client Name]")
- • Total page count
Many lawyers treat the cover page as part of their record.
Double-check contents and signatures
- • Confirm the letter is final, signed if required, and on the correct letterhead.
- • If you attach sensitive documents (e.g., medical or financial records), consider whether HIPAA Mode or extra precautions are appropriate.
Reminder: OneFaxNow does not provide legal advice. You are responsible for ensuring that fax is an acceptable method for your specific purpose.

Decide whether to use HIPAA Mode
If your letter or attachments include medical records or other PHI, enable HIPAA Mode for stricter handling, instant BAA, and a HIPAA Audit Dashboard. For most legal/financial correspondence, Standard Pay-Per-Fax is sufficient.
Enter the recipient's fax number
Enter the U.S. or Canada fax number for opposing counsel, claims adjuster, insurer, government agency, or other recipient. We auto-format the number as you type.
Pay only if delivery succeeds
Standard pricing from $3.50 (1–10 pages) and $5.00 (11–50 pages). HIPAA Mode adds $3 or $5.
We authorize at checkout and only capture if delivery succeeds.
Track status and save the confirmation
Watch your fax send in real time on the Fax Status page. If busy, we retry up to 3 times. Keep your email confirmation and HIPAA audit logs as part of your matter file.

- Attach exhibits, photos, or records as needed, up to 50 pages total.
- Keep fax confirmations and logs in your case management system.
Claims adjusters & insurers
- Receive demand letters and supporting records from counsel or claimants.
- Fax coverage letters, reservation-of-rights letters, or other correspondence to third parties.
- Use pay-per-fax for one-off situations without maintaining a dedicated fax line.
Self-represented individuals
- Send demand letters or dispute notices when a recipient still publishes a fax number.
- Combine fax with certified mail or other methods as advised by your attorney or local rules.
For court filings or formal service, always verify what methods are allowed. Fax may be supplemental, not sufficient on its own.
Standard vs HIPAA Mode for Legal Correspondence
Most legal correspondence does not require HIPAA-level handling—but some does, especially in personal injury, medical malpractice, or disability matters.
Standard Pay-Per-Fax is usually enough when:
You're sending:
- Demand or settlement letters
- Policy or coverage letters
- General legal correspondence without medical details
Your attachments don't contain PHI.
HIPAA Mode is worth using when:
- You attach medical records, treatment summaries, or PHI to your letter.
- You need HIPAA-grade handling plus documentation for your compliance records.
With HIPAA Mode, you get:
- HIPAA-compliant transmission
- A Business Associate Agreement (BAA) at checkout
- Access to the HIPAA Audit Dashboard with exportable logs
- Automatic PHI file deletion after completion with audit logging
Simple Pricing for Legal Correspondence & Demand Letters

Legal Correspondence & Demand Letter Fax Questions
Does faxing a demand letter count as legal service or notice?
That depends on the applicable law, rules, and any agreements between the parties. OneFaxNow only provides fax transmission and delivery status. It does not determine whether a document has been legally "served" or whether a notice is effective. Always consult the rules and, if needed, an attorney.
Can I use this to file documents with the court?
This page is focused on correspondence between parties, not court filings. For actual court filings, refer to your court's e-filing and local rules. Some courts allow fax filings in limited situations (see our Court Fax use case), but fax is often not a substitute for e-filing or in-person filing.
Can I include attachments like photos, contracts, or records?
Yes. You can upload attachments in supported formats (PDF, DOCX, JPG/PNG, TIF/TIFF, TXT) and we'll merge them into a single fax in your chosen order, up to 50 pages total.
What if the recipient's fax line is busy or doesn't answer?
OneFaxNow automatically retries your fax up to three times if the line is busy or temporarily unavailable. You'll see each attempt and its outcome on your Fax Status page. If all attempts fail, your payment authorization is released and you're not charged.

Automatic retries if the line is busy
Should I use HIPAA Mode if my attachments include medical records?
If your letter or attachments include PHI (medical records, treatment summaries, diagnostic reports, etc.), you may want to use HIPAA Mode for stricter handling, an instant BAA, and detailed audit logs. For purely legal/financial correspondence without PHI, Standard Pay-Per-Fax is usually sufficient.
Do I need an account or subscription to fax legal documents?
No. OneFaxNow is built for one-time, pay-per-fax usage. You don't need to create an account or sign up for a subscription.
