Formatting tips for faxing spreadsheets

Excel spreadsheets have unique challenges when faxed. Follow these tips to make sure your data comes through clearly.

Use landscape orientation

Most spreadsheets are wider than they are tall. In Excel, go to Page Layout > Orientation > Landscape before saving as PDF. This prevents columns from being squeezed or cut off.

Scale to fit one page wide

Go to Page Layout > Scale to Fit and set Width to "1 page". Excel will shrink the spreadsheet horizontally to fit all columns on a single page. Adjust Height to "Automatic" to allow multiple pages if needed.

Set a print area

Select only the cells you need to fax, then go to Page Layout > Print Area > Set Print Area. This prevents blank rows and columns from generating extra empty pages.

Turn on gridlines for printing

By default, Excel does not print gridlines. Go to Page Layout > Sheet Options > Gridlines > check "Print" so cell borders are visible on the fax.

Use 10pt fonts or larger

Fax machines have lower resolution than screens. Anything smaller than 10pt may become illegible on the receiving end. Bold headers help distinguish sections.

Remember: fax is monochrome

Color-coded cells, conditional formatting, and colored fonts all convert to shades of gray. Use bold, borders, or text labels instead of color alone to convey meaning.
