Two ways to fax a Word document

OneFaxNow gives you two options for faxing Word documents. Both work -- pick the one that fits your situation.

Upload DOCX directly

Fastest

Upload your .docx or .doc file as-is. OneFaxNow converts it to a fax-optimized format on the server. No extra steps on your end.

Best for: Quick faxing when formatting is straightforward -- letters, forms, simple documents.

Save as PDF first, then upload

Most control

Open your document in Word, go to File > Save As (or Export), choose PDF, then upload the PDF to OneFaxNow. This lets you preview exactly what will be faxed.

Best for: Documents with complex layouts, custom fonts, or when you want pixel-perfect control.

Step-by-step: Fax a Word document online

1

Open OneFaxNow

Go to OneFaxNow.com in any browser -- phone, tablet, or computer. No account creation, no sign-up. You go straight to the fax form.

Tip: Sending medical records or other sensitive documents? Toggle HIPAA mode at the top of the form for encrypted transmission with an instant BAA.

2

Upload your Word document

Tap "Choose Files" and select your .docx or .doc file. OneFaxNow accepts Word documents directly -- you do not need to convert to PDF first.

You can upload up to 15 files (50 pages total) if you have multiple documents to fax together.

Tip: Mixing file types? You can upload Word documents, PDFs, photos, and TXT files in the same fax. They are all merged into one transmission.

3

Enter fax number and email

Type the recipient's U.S. or Canada fax number. The form auto-formats as you type -- just enter the digits.

Enter your email address to receive a delivery confirmation when the fax goes through. Optionally toggle "Add Cover Page" to include sender/recipient details and a message.

Tip: Double-check the fax number. A wrong digit sends your document to the wrong machine.

4

Pay and send

Review your fax details -- number, email, page count, and price -- then tap "Pay & Send".

Pay with credit card, Apple Pay, or Google Pay. Your payment is authorized but not charged until the fax is delivered successfully.

Pay-on-success guarantee: If the fax fails after 3 automatic retries, the authorization is released and you're never charged.

5

Track delivery

After payment, you'll see a live status page that updates in real time: Sending → Delivered.

  • Watch transmission progress live
  • Automatic retries if the line is busy (up to 3 attempts)
  • Email confirmation when delivery is complete

DOCX vs PDF: which should you upload?

Both formats work. Here is when to use each.

Upload DOCX directly
  • Fastest -- skip the conversion step entirely
  • No risk of PDF export errors
  • Works with both .docx and legacy .doc
  • Cannot preview exact fax output
  • Custom fonts may render differently

Best for: Simple documents, letters, and forms

Save as PDF first
  • WYSIWYG -- PDF is exactly what gets faxed
  • Preserves exact formatting and fonts
  • Auto-optimized for fax quality
  • Extra step: File > Save As > PDF
  • Some Word exports break formatting (rare)

Best for: Contracts, complex docs, and when formatting matters

Tips for faxing Word documents

Use standard fonts

Stick to Arial, Times New Roman, or Calibri. Custom or decorative fonts may not render correctly in the fax.

Check your margins

Use standard 1-inch margins. Narrow margins may cause text to be cut off at the edges of the fax.

Embedded images work

Photos, logos, and graphics in your Word document are included in the fax. Keep images at 300 DPI or higher for best quality.

Remove macros and passwords

Macro-enabled (.docm) and password-protected documents should be saved as regular .docx before uploading.
